How to keep tax preparation jobs on time for 2027

Five scheduling steps that hold a tax return from intake to closeout, plus the 2027 filing season dates that decide whether a practice files on time.

What to take away

  • A tax preparation job runs late because intake was incomplete, not because the preparer worked slowly. Capture everything before you book the appointment.
  • Book against real capacitypreparer hours, software seats, and the days the client can actually answer a question.
  • For 2027, the season opens when the IRS starts accepting e-filed returns. Recent openings fell on January 23 (2023), January 29 (2024) and January 27 (2025). Confirm the 2027 date on irs.gov before you promise a client anything.
  • Give one person authority to move appointments and to say why.
  • Track two numbers weekly: appointments that started without complete documents, and returns past their promised date.
  • Build the calendar around three statutory 2027 datesMarch 15 for Form 1065 and Form 1120-S, April 15 for Form 1040 and Form 1120, and October 15 for extended individual returns.

This article covers practice operations, not tax positions. Deadlines, forms, and e-file rules change by year and jurisdiction. Verify current dates with the IRS or your state tax authority, and route client-specific questions to a licensed CPA or enrolled agent.

Five scheduling steps from intake to closeout

  1. Capture the return at intake. Before the appointment exists, collect the prior-year return, photo identification, and every income form the client knows about: W-2, 1099-NEC, 1099-INT, K-1. Send the list through a client portal such as SafeSend, TaxDome or Liscio two weeks ahead, and require a reply.
  2. Book against capacity, not the calendar.Count preparer hours per week, software seats, and reviewer hours. Check concurrent-user limits and return caps with Lacerte, Drake Tax, UltraTax CS or CCH Axcess Tax before peak weeks: a blocked login caps the week. When two preparers share one reviewer, the reviewer sets the ceiling.
  3. Brief the preparer on scope and the finish line.Write down the entities involved, who signs Form 8879, and what the client expects to owe or receive. Scope creep starts when nobody wrote the scope down.
  4. Close out with the client and log every change.Record what shifted from the intake notes: added forms, a changed filing status, a late K-1. File the IRS e-file acknowledgment with the return.
  5. Fix the pattern, not the person. If three returns ran long for the same missing document, add that document to the required intake list before the next appointment.

The 2027 dates that set your schedule

The IRS picks the first day it accepts e-filed returns, and that date moves the whole season. Recent openings landed in the last ten days of January: January 23 in 2023, January 29 in 2024, January 27 in 2025. Confirm the 2027 date on irs.gov before you publish an internal calendar.

2027 Tax Filing Season Dates

  1. Jan 31
    W-2 and 1099 forms due
  2. Mar 15
    Partnership and S corp returns
  3. Apr 15
    Individual and C corp returns
  4. Jun 15
    Second-quarter estimated payment
  5. Sep 15
Extended partnership and S corp returns
  6. Oct 15
    Extended individual and corporate returns
  • Sunday, January 31, 2027.Employers and most payers must furnish W-2 and 1099 forms by this date, so the deadline moves to Monday, February 1. Client documents arrive in a cluster. Staff the week after it.
  • Monday, March 15, 2027.Calendar-year partnership returns on Form 1065 and S corporation returns on Form 1120-S are due. The first K-1 wave lands here, and partnerships on extension send K-1s as late as September 15.
  • Thursday, April 15, 2027.Individual returns on Form 1040 and calendar-year C corporation returns on Form 1120 are due, with the first-quarter estimated payment. Check irs.gov in case a District of Columbia holiday moves the date.
  • Tuesday, June 15, 2027.Second-quarter estimated tax payment.
  • Wednesday, September 15, 2027.Extended Form 1065 and Form 1120-S returns, and the third-quarter estimated payment.
  • Friday, October 15, 2027.Extended individual returns filed on Form 4868, and extended corporate returns filed on Form 7004.

An extension moves the filing date, not the payment date. A client who owes tax still pays from April 15, 2027. The failure-to-pay penalty runs at 0.5% of the unpaid balance per month, up to 25%, and interest adds to that. Put this in writing at intake.

Where a schedule actually breaks

Incomplete intake. The client arrives without a document, the preparer works around it, and the return waits on a second visit. Count these weekly.

Where a Schedule Actually Breaks

  • Incomplete intake
  • One reviewer for too many preparers
  • Client response time
  • A rejected e-file
  • Software seat limits

One reviewer for too many preparers. Returns pile up at review. Add preparer hours only when reviewer hours rise with them.

Client response time. A question sent Friday may not be answered until Tuesday. Build that gap into the promised date instead of discovering it.

A rejected e-file. The IRS usually acknowledges a transmission within 24 to 48 hours. A rejection costs a correction and a second submission, which takes the slot you gave the next client.

Software seat limits. During peak weeks, a blocked login stops a return as surely as a missing form.

Records and due diligence you can check

Internal Revenue Service: PTIN Requirements for Tax Return Preparers covers who needs a current preparer tax identification number. Anyone who prepares or substantially assists with a federal return for compensation generally needs one, and the PTIN renews every year.

The renewal fee has been $19.75 in recent seasons, and the IRS posts the current amount on its PTIN page. Check your team's status before the season, not during it.

Internal Revenue Service: Due Diligence Requirements for Tax Preparers applies to returns claiming the earned income tax credit, the child tax credit, the American Opportunity Tax Credit and head of household filing status. It requires reasonable follow-up questions, an evaluation of inconsistent information, and a record of the inquiry.

Form 8867 is the checklist that documents that work, and software alone does not satisfy the rule. The penalty for a missed due diligence step has run in the $600s per failure and is adjusted for inflation. The current amount is posted with Form 8867.

Internal Revenue Service: What kind of records should I keep? sets out the business recordkeeping standard. The IRS generally suggests keeping records for three years after you file, and longer for some claims. Your scheduling log is a business record: keep it long enough to reconstruct a season.

E-file providers should also work from Publication 1345, the IRS handbook for authorized e-file providers, and Circular 230.

A worked example

A two-preparer practice books 14 returns a week in February. Each return takes about three hours of preparer time, so the pair has roughly 80 hours against 42 hours of demand. The schedule holds.

February Capacity vs March Overrun

  • February demand42 hours
  • February capacity80 hours
  • March added hours18 hours

In March, clients start arriving without their 1099s. Six of fourteen returns need a second appointment, which adds 18 hours the practice does not have.

Longer days do not fix it. Send a document checklist two weeks before every appointment, and move a return without a complete checklist to a later slot so a ready client takes the open one.

Common questions

When does the 2027 filing season open?

The IRS announces the first day it accepts e-filed returns each year, and that date lands in January. Openings in 2023, 2024 and 2025 fell between January 23 and January 29. Confirm the 2027 date on irs.gov before you print a client calendar.

What happens if a client files an extension?

An extension moves the filing date, not the payment date. Tax owed is still due April 15, 2027, and interest runs from there. Form 4868 gives an individual filer until October 15, 2027. Tell clients this at intake so nobody treats the extension as more time to pay.

How do I schedule when a preparer leaves mid-season?

Move that preparer's open returns to the reviewer first, since review is the bottleneck. Rebook clients against remaining capacity and tell each one the new date in writing. For the wider operating model behind this, see the tax preparation operations and workflow guide.

Should I promise clients a refund date?

No. Refund timing depends on IRS processing and the filing method, not on your schedule. The IRS states that nine out of ten taxpayers who file electronically with direct deposit get a refund in less than 21 days. Promise the date you will transmit the return.
